     Objective

    To outline a way of working that:

    • Works for both DevSoc and CSESoc in minimising friction and communicational inefficiencies.

    • Allows for operational independence that reflects the way each society prefers to run events and add value for sponsors.

    • Avoids competition between CSESoc and DevSoc and delivers increased value for sponsor money.

     Assumptions

    • That the DevSoc amendment reorganising portfolios to create 1 Events and 1 Sponsorship portfolio passes.

    • That CSESoc and DevSoc continue to agree to a 15% / 85% split of all sponsor revenue.

    • No need for either society to CC the other in their communications.

     Phases

    Sponsorship responsibilities are typically split into two phases. Attracting sponsors and then servicing them. Because sponsorship contracts typically run on an calendar year basis, attracting sponsors is focused at the end of the prior calendar year, with some activity happening early in the new year.

    👑 The Sponsorship Team

    DevSoc proposes that the sponsorship teams of both CSESoc and DevSoc meet jointly.

    That means that:

    • They act as one portfolio, they have meetings at the same time - together.

    • Both societies will use their own domain emails for contacting sponsors for events related to them.

    • CSESoc will recruit 1 sponsorship director + half the sponsorship subcommittee. DevSoc will recruit 1 sponsorship director + half the sponsorship subcommittee.

    This assumes that:

    • CSESoc is happy to split their Careers team into Spons + Careers at their 2024 AGM

    Otherwise, the below proposal is still functional with two separate teams should the above not occur.

    Dual prospectuses

    • CSESoc and DevSoc to each prepare their own prospectuses introducing their societies.

    • However, the pricing page in either document will be the same. Both societies will use the same sponsor levels.

    Single prospectus

    • CSESoc and DevSoc continue to use one prospectus

    Joint sponsorship

    • Sponsorship of one society at a certain level entails sponsorship of the other at the same level.

    Joint contract

    • Regardless which society is signing the sponsor, they will use the same contract that specifies that both societies are party to the benefits and obligations of the agreement.

    Signing sponsors

    • The sponsorship drive will include outreach by both DevSoc and CSESoc via their own respective domain emails.

    • Teams will coordinate and split contacts up so that sponsors are not double contacted by both CSESoc and DevSoc

    Redistributing funds

    • Both societies will distribute the other’s money that they have collected at the start of T1, T2 and T3

    Onboarding sponsors

    • Regardless of which society has signed a sponsor, they will notify the other society.

    • Both societies will then add that sponsor to their list of sponsors.

    • Both societies' sponsorship teams will establish contact with the sponsor’s HR team, inform them of of that society’s plans for the term and how they can get involved.


    🌠 DevSoc Prospectus I

    Having a separate prospectus allows DevSoc to better highlight it’s differentiating attributes to sponsors and set expectations for the level of events they can expect from us versus CSESoc. The prospectus should emphasise the following:

    Project Sponsorship

    See below.

    • Highlight the usage/impressions of projects per year.

    Employability of members

    • Highlight our members, their interest for experience and where they statistically have worked/interned (and the fact that they do work in-field before graduation)

    Flagship Events

    • Starlight

    • Techspire

    Other career/networking events

    • This part should be much like any other society and how they advertise the events sponsors can participate in.

    • Obviously noting the priority given our society doesn’t typically run that many of these.

    • Use 2024 events and photos as examples.

    🌠 DevSoc Prospectus II

    As I propose that each society prepare it’s own prospectus, but share the pricing page, we need to align with CSESoc’s three teir model for sponsors. It would also help reduce confusion and duplication with DevSoc Project Sponsorship tiers and CSESoc General tiers, as well as issuing additional invoices for DevSoc Project Sponsorships.
