Subcommittee Onboarding
Introduction
A huge congratulations on receiving your Subcommittee Offer for 2025! We have had many fantastic applications, and as a result, the process was very competitive—but you’ve made it all the way here! So a massive pat on the back for making it this far.
We’re excited to see what you’ll get up to in this upcoming year, and what kind of things you’ll contribute to DevSoc. Whether it’s through pushing new features to our Projects, helping to publicise our society through events or marketing, or maybe helping us organise super fun Meritons—we believe in your capacity to succeed and do something spectacular!
But before we can begin, please have a read through this guide! There are some actions you need to take to complete the onboarding process . Some of the tasks might require you to take some time out of your schedule—so please don’t feel the rush to complete all of these in a small timeframe .
If you have any further questions, please reach out to your Directors, and they will be more than happy to provide any assistance. For many of you, this will be your first time working with us, so here’s a quick first task.
Tasks
Discord Server
The 2025 Internals Discord will be the main point of contact between Execs, Directors and Subcommittee. All important society-wide announcements (including fun events!) will be communicated here! As a subcom, you are expected to check on the server frequently to ensure you are up to date on any relevant news.
But aside from that, Discord also gives you the chance to socialise! Please feel free to bond with everyone else. We want to ensure an inclusive and warm environment, so please say Hi to someone new and get to know them a little better!
As part of onboarding, these are your first tasks.
Tasks
Portfolio Communication
Your portfolio might also want to communicate directly via a separate messaging platform. If that’s the case, it is important for you to set an agreement between your directors and fellow subcommittee members.
It is important to note that active communication is key, so it is an expectation from your directors to consistently keep in contact (at least once a week). If you’re struggling to stay on top of your assigned tasks, please let your directors know ASAP! There’s no harm in taking a break and stepping back; we’re all here to support you, so don’t feel pressured if assignments, work or other commitments get in the way .
Aside from that, communication doesn’t have to be just work-related though!! You are most encouraged to share a bits about yourself, how uni is going, funny memes, etc. - anything that helps directors and your fellow subcom get to know you better .
Tasks
GitHub
Note: If you are in a non-technical port (Events, HR, Markerting, Sponsorships), this part is optional!
DevSoc would not be DevSoc without our commitment to software development! Each of our flagship projects have their own unique repos which can be found at https://github.com/devsoc-unsw . Whilst our projects are open source, as subcom, you’ll be gaining special access to our organization!
However, to do that, we’ll first need to know your GitHub usernames. Please fill out the form that was sent to you in your offer email and enter in your GitHub username. The Administrative Officer or your project directors will invite you shortly. We can’t wait to see what you’ll cook up for us!
Task
Subcommittee Induction
Be ready to attend our Subcommittee Induction!
We’ll be covering your basic expectations as a subcom member, how grievances processes work, how to request financial reimbursements, and many more things. But aside from all the boring stuff, induction is an important time to for you to meet your portfolio! We’ll be stock piling the day full of fun bonding activities , followed by a dinner.
To ensure directors are up to speeds with attendance, please fill out the form that was sent in your offer email. This helps us ensure we have an accurate headcount to make restaurant bookings!
Tasks
As a member of DevSoc, you’ll receive your very own email account. This allows you to gain access to our Drive, where you can contribute meeting minutes, marketing cps, videos to our workspace. DevSoc has a unique email domain @devsoc.app
! This identifies you as part of our organisation, and any external contact should be done via this account.
Some of you have previously been members and thus already have a DevSoc email. However, for those who do not, the Administrative Officer (@Jayden Manh Tien Nguyen ) will be in contact with you soon to ensure everything is all set up . (You should receive sign-on instructions in your personal email).
It is your responsibility to frequently check on your DevSoc email to ensure you are up to date with any relevant external information.
Note: It is important to enable Two-Factor Authentication when you set up your account. Otherwise, you’ll be locked out !
Tasks
@devsoc.app
email after the Admin Officer sets it up!Portfolio Onboarding
This guide is a general onboarding guide for all subcommittee members. However, in addition, your directors might ask you to complete some further onboarding tasks specific to your port. Don’t be scared - they’re likely to be easier level tasks to get you into the flow!
Directors will get to it when they can, so please be patient ! But your first tasks and meetings should be assigned real soon
Tasks
That should be all for your onboarding needs . If you have any questions, please feel free to reach out to any of the Execs or your directors for assistance!
Though many of you will be contributing technically, we want to emphasise that subcom is meant to be a fun experience. We’re all here to enjoy ourselves, so please take it easy and just enjoy the year ahead!
We can’t wait to see what you get up to .
Sincerely,
2025 DevSoc Executives
